The Office of Institutional Research and Assessment provides a variety of public and internal dashboards designed to support informed decision-making across 91福利 and 91福利 Machias. These interactive tools offer an intuitive way to explore key university metrics, trends and insights.

Public Dashboard: Enrollment

Our public Enrollment Dashboard showcases ten years of enrollment trends by term and major, along with geographic maps showing where students were living before starting their degrees.

Internal Dashboards:

The internal dashboards centralize critical data, helping colleges and departments track progress and identify opportunities for improvement. Recent additions include:

  • Undergraduate & Graduate Admissions Dashboards – Explore admissions data, including application counts, acceptances, and enrollments.听

Access to internal dashboards is currently available to 91福利 and UMM administrators, deans, associate deans, and department chairs/directors. Request access by emailing the report author.

We offer customized training sessions to help you make the most of these resources. Program assessment three-year reports are due by June 30 from the following programs:

  • All academic programs in the Maine Business School
  • All academic programs in the College of Education and Human Development
  • All academic programs in the Maine College of Engineering and Computing
  • The Bachelor of University Studies program in the Division of Lifelong Learning
  • The following Machias programs
    • Business and Entrepreneurial Studies (2yr & 4yr) 
    • Education 
    • Outdoor Recreation and Leadership 
    • Conservation Law and Outdoor Management (2yr) 
    • College Studies

The 3-year reports consist of:

1) A 3-year summary report and

2) Updated assessment results for all program learning outcomes, submitted through the annual reporting site. 

More information about assessment reporting is available on the OIRA Assessment Reporting webpage.

As always, our assessment staff is ready and available to meet with you to answer any questions you may have about program assessment and the reporting process. If your program is due to submit their 3-year summary report this year, please submit it even if it feels incomplete. It is important to us to meet programs where they are in this process, and the information in the 3-year reports helps us identify areas where support may be needed.

Management of SETs is a complex process that requires 1) accurate information about student enrollment and instructor/TA assignments in MaineStreet, 2) input from units about exceptions needed to our standard policies, and 3) ongoing oversight by OIRA staff. The partnership between unit administration and OIRA is essential for a seamless experience for students and faculty. We wanted to share a few reminders to help ensure a smooth process this semester.

  1. All courses are automatically included in the SET process as long as there are 3 or more students enrolled, and the course is not coded as Independent Study, Thesis or Travel Abroad (with subject ABD). 
  2. If an exception is needed to add or remove a course or instructor from the process, department administrative personnel can make the request using forms on our website
  3. It is important to keep faculty and TA assignment information up-to-date in MaineStreet. If assignments change please let the Office of Student Records know immediately.
  4. Faculty and students are notified and reminded of important deadlines in the SET process via emails to their official UMS accounts. Students are also reminded to complete evaluations via a pop-up window when they login to Brightspace.
  5. Faculty, chairs/directors and designated administrative personnel can access reports at any time via the Blue Portal, which is accessible via the campus portal .
  6. Extensive resources to help support the SET process are available on the OIRA Online Evaluation Resources website.

In recent months OIRA has made a number of updates to the static reports available on our website. Below you will find a few key highlights:

Enrollment

Both 91福利 and 91福利 Machias welcomed more new learners than in previous years. The fall 2024 cohort at 91福利 was 12% larger than the fall 2023 cohort. Similarly, 91福利 Machias鈥 first-year class grew by 23% compared to fall 2023. Additional data can be found in the and in the 91福利 and 91福利 Machias 10-Year Enrollment Report.听

Retention
91福利 and 91福利 Machias achieved historic retention milestones this year:聽

  • At 91福利, 83.4% of first-time, full-time students from the fall 2023 cohort returned for their second year, an increase of 6.1 percentage points from the fall 2022 cohort and an all time high for first-year retention. 
  • 91福利 Machias鈥 retention rate for first-time, full-time students reached 81.4%, a 13.5-percentage-point jump from the previous year. 
  • 91福利 also recorded its highest-ever return rate of 82.7% for all degree- and certificate-seeking undergraduate students, excluding those who graduated in the interim. 

Graduation

91福利 saw a record-high four-year graduation rate with 45% of the fall 2020 cohort graduating within four years. The tables below show the graduation rates for 91福利 and 91福利 Machias.

The 3-year assessment cycle for academic programs culminates in a 3-Year Assessment Summary report, which has traditionally been due at the end of June during the last year of a program鈥檚 cycle. Feedback from some units indicated that this quick turn-around time made it difficult to include all faculty in assessment discussions, especially about any data collected in the last year of the cycle. For this reason, we have changed the timing of the 3-Year Assessment Summary report to be due a year later, such that units will collect assessment data for three years, then have an entire academic year to reflect on those results and to complete the 3-Year Assessment Summary report. During this 鈥渞eflection鈥 year, units should be collecting data for the first year of their new cycle. If units want feedback on their process sooner, they are welcome to submit their reports prior to the June deadline and OIRA, in collaboration with the Assessment Advisory Board, will review the reports as soon as possible. Please see the 91福利 Assessment Plan on the OIRA website for more information about program assessment. Appendix A of the Plan now indicates updated report due dates. Most programs due to submit reports this June have specialized accreditors and are therefore waived from the annual reporting requirement. As such, this cycle change will impact most programs starting next year (2025-26).听

OIRA offers electronic scanning of multiple-choice exams using a blue 5-answer Scantron optical mark recognition form, commonly referred to as a bubble sheet. Currently, we are only using the blue bubble sheets, which are available in our office. 

  • A cover sheet, , should be filled out with the class name and number, the professor鈥檚 name, the email address(es) for receiving the results, where to send the exams after scanning, and any special requests (e.g. dropping an answer, marking a question as a bonus, allowing multiple answers for a question).

For smooth processing, please take the following steps:

  • Fill out the Answer Key (see below) on the right side only, the left side is for office use.
  • Include the class name in the top margin.
  • Fill in only one answer for each question, even if the question will be dropped. Do not fill in more than one.
  • Place the Key on top of the exams, with all the exams facing the same direction and secured with a clip or in an envelope, which are available in our office if needed.
  • Please ensure your students use a #2 pencil for the answers as ink cannot be read by the scanner. The scanner will not recognize written words either, so the name bubbles must also be filled in with a pencil.

Once the scanning is completed, a link to an Excel spreadsheet with the results is sent to the person(s) listed on the cover sheet. The Excel file includes both the raw number of questions answered correctly and the corresponding percentages. The Excel file also includes multiple tabs, displaying the results in different ways (by student name, by student ID, sorted by score, etc.) The final tab provides an analysis of the questions.

You have the option of either picking up the physical exams in our office, or receiving them through campus mail. It may take a few days to get them back through campus mail.

In spring 2024, the Faculty Senate approved several motions that change the assessment process for Core courses. A significant part of the new process is ensuring that the Core learning outcomes and associated common rubrics are well aligned with the course content and assignments. This will help strengthen the quality of the rubric data so that it can be a better indicator of the learning taking place in Core courses. This spring (2025) the Undergraduate Program Curriculum Committee (UPCC), in collaboration with CITL and OIRA, will be piloting a modification to the UPCC approval process for courses seeking new Core designations. Once courses are conditionally approved by UPCC, the course faculty will meet with an instructional designer from CITL to discuss and record the alignment of their course content and assessments to the Core rubrics. Once this meeting has successfully been completed, the course will receive final approval. More details about this process can be found .
